Privacy Notice

About this notice

This privacy notice explains how we collect, use and protect your personal data; and also the rights you have with regards to that data.

This notice applies to the processing of your personal data through our Applicant Tracking System only. Please refer to Homes England’s main privacy notice for further information on how we process personal data for other purposes.

Who are we

Homes England is the trading name adopted by the Homes and Communities Agency, our legal entity.
We are the data controller of the personal data processed. This means that we are responsible for deciding how we collect, use and store your personal data.

Information we collect

Homes England collects personal data about you when you apply for a vacancy at Homes England via our Applicant Tracking System or when you choose to use the Talent Pool function of the site. We will gather information from external applicants who apply for vacant positions available within Homes England, applicants will come directly and via recruitment agencies, both will be processed in the same manner. The system will also manage all internal applicants for roles via the organisation’s intranet.

We collect, store and use the following categories of personal data:

  • Name
  • Contact Details
  • Education History
  • Employment History
  • References (contact Information)

We collect store and use the following special categories of personal data:

  • Diversity Monitoring Information, such as; Ethnic Group, Age, Gender Identity,
    Disability, Sexual Orientation and Religion or Beliefs.
  • Disability Confident Scheme, such as; Medical Information

How we process your information

We use the personal data stated above for the following purposes:

  • Name and Contact Information – We process this data in order to communicate with you regarding your application we also use this information to connect it to the rest of the information you provide as part of the application and recruitment process.
  • Education and Employment History – We process this information in order to determine if you would be potentially suitable for the vacancy to which you have applied for.
  • Reference(s) – We process this information in order to help us to establish a contact for potential referees.

We use the special category personal data for the following purposes:

  • Diversity Monitoring Information – We want to understand our candidates. We ask these questions to collect overall statistical information – not to pinpoint individuals. It helps us understand which groups are underrepresented in our candidate pool and whether all groups’ needs are met.
  • Disability Confident Scheme – We collect this data as it is a legal requirement to do so.

What lawful basis do we have to process your personal data?

We will only use your personal data when the law allows us to. This is called the lawful basis. In regard to the above purposes, we rely on the following lawful basis:

  • Processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract.

When processing special category personal data, we rely on the following condition(s) for processing:

  • Explicit Consent; The data subject has given explicit consent to the processing for one or more specified purposes.
  • Employment; The processing is necessary for the purposes of carrying out the obligations and exercising specific rights of the data controller or of the data subject I the field of employment.

Who is the information shared with?

We will be sharing the information with the following data processors:

  • NexGen supplied by Genius Ltd
  • Azure Hosting
  • Mail Gun

Where is your personal data stored and processed?

Information captured via the Applicant Tracking System is processed and stored within the UK.

How long do we keep your personal data?

We will retain your personal data which is processed by our Applicant Tracking System of a period of two years. Once this period has passed your personal information will be deleted.

Your rights

Under data protection legislation, in certain circumstances you have the following rights over the processing of your personal data as described in this notice:

  • right of access to personal data;
  • right to correction or rectification;
  • right to request deletion; and
  • right to data portability.

Homes England must respond to a request to exercise these rights within one month. If you would like to submit a request, please contact the Data Protection Officer.
